Absences and Holidays Procedures in Romania
Medical leave procedure:
- On the first day of absence, the employee informs the Competency Manager that he/she is sick (temporarily incapacitated). The announcement can be made by phone or email, and the deadline is maximum 6 hours from the start of the program.
- On the same day, the Competency Manager announces the Technical Direction and HR about the employee who will be on sick leave.
- The employee requests from the Office Assistant (office.adc@alten.com) an insured certificate necessary to obtain the medical leave certificate. The insured certificate will be sent to the employee within one day.
- The employee sends the medical leave certificate electronically to the HR Department (hr.adc@alten.com).
- The employee hands over to the HR Department the medical certificate in physical format, at the latest on the last working day of the month for wich it was released. If the employee cannot move to the company headquarters for medical reasons, the medical certificate can be brought by a close person.
- The employees from the Bucharest office and those who work remotely will send the medical certificate by courier (the company will cover the courier’s cost).
- Based on the medical certificate, the person responsable for the timesheet will do “request medical leave” in Portal Vision.
Holidays leave procedure :
- The employee submits the “Leave request” in the Portal Vision application, respecting the established deadlines (with 5 weeks before for holidays of more than 5 days and one week before for less than 5 days. *5-day period includes legal holidays/special holidays (birth, marriage, death, etc.)
- The employee sends by email a screenshot of the “Leave request” to Technical Direction, Competency Direction and Timesheet Officer *The subject of the e-mail must be: Holiday Request NAME SURNAME SURNAME Dept NAME zz/ll/aaaa – zz/ll/aaaa *In the email will be mentioned the person who will back up during the annual leave.
- The Competency Direction also checks the number of the remaining leave days that the consultant has and validates with the Technical Direction if the employee may be absent during the requested period.
- The Competency Manager approves or rejects the leave request in the Portal Vision application.
*Cancellation of an application for holiday leave can be made 2 weeks before the first day of planned leave, for periods longer than 5 days, respectively one week before for holidays less than 5 days.
